Why every hospital needs a strong computerized maintenance management system

In hospitals, medical equipment is everywhere — from IV pumps to MRI machines. Keeping all that gear working is a big job, and it’s exactly why every healthcare facility needs a Computerized Maintenance Management System (CMMS).

A CMMS is software that helps track, manage and maintain medical equipment. But more than that, it’s a window into how well a hospital’s healthcare technology management (HTM) program is working.

Often managed by HTM, clinical engineering or biomed, these teams are responsible for making sure lifesaving devices — like ventilators, defibrillators and pumps — work safely and correctly. If a health system is using their CMMS well, chances are the rest of their program is in good shape, too.

Here are three reasons why health systems should consider implementing a CMMS in their hospital.

  1. It reflects program health: When consultants come in to help a hospital, one of the first things they examine is the CMMS application because how a hospital uses this system provides insight into the overall health of their biomed program. If the data is well-maintained, organized and actively used, it shows the team is proactive and structured. If it’s messy or underused, it could point to gaps in the program that may be affecting safety, cost or performance. Reviewing the CMMS helps determine what is working well and where improvements could be made, as well as help answer important questions like:

    • How often does this machine break?
    • How long does it take to fix it?
    • What’s costing us the most time or money?
    • Are there existing service contracts in play?

  2. It serves as a source of truth: A CMMS holds important data that other departments rely on (even if they don’t realize it) including nurses who need to trust the equipment’s safety, finance teams who use the CMMS to balance budgets and keep track of assets, and hospital leadership who require proof that the equipment is running safely, effectively and efficiently. When everyone uses the same source of data, there's less confusion, improved teamwork and more informed decision-making.

  3. It saves time and money: A CMMS helps hospitals run more smoothly by:

    • Keeping track of equipment. A CMMS knows what devices the hospital has, where they are located and their condition.
    • Scheduling maintenance. The CMMS helps prevent breakdowns by reminding teams when to check or fix equipment.
    • Tracking performance. It provides insight into which equipment requires constant repair or replacement.
    • Assisting with compliance. It can store reports and records for future audits from regulators such as The Joint Commission or Det Norske Veritas (DNV).
    • Connecting other systems. The CMMS can link to other systems like electronic health records or financial software, improving data sharing.

A CMMS isn’t just a maintenance tool. It’s a decision-making tool that when used right keeps everyone — from technicians to finance and nursing — on the same page.
